Capture Special Needs

Every participant is asked whether they have any special needs

When registering for the congress, every visitor is asked whether they have any special needs — both in terms of accessibility (mobility, visual or hearing impairments, quiet spaces) and catering (allergens, vegan or vegetarian preferences, and religious dietary requirements such as halal or kosher).

By asking these questions upfront rather than on-site, the organisation can anticipate individual needs instead of improvising on the day itself. Accessibility measures can be prepared in advance, and catering quantities can be ordered accurately — meaning every guest finds a suitable meal without the need for excessive “just in case” alternatives. For visitors, a simple question at registration signals that they are genuinely expected and welcome, whatever their needs.

This initiative reflects the congress’s broader commitment to inclusive and socially sustainable event design, in line with the United Nations Sustainable Development Goals on reduced inequalities and responsible consumption.

Sustainability added value: Mapping special needs at registration makes inclusion structural rather than reactive — every visitor can participate fully and comfortably — while precise catering forecasts directly reduce food waste and overproduction, combining the social and ecological dimensions of sustainability in one simple registration step.
